The short version
- You don't need an account and there are no forms, so we don't ask you for any personal information.
- We only use Google Analytics if you say yes. It helps us see which pages are useful. You can change your mind at any time.
- Some pages show maps, trail data, ratings and videos from other companies, who may collect information under their own policies.
- We never sell your information.
Who we are
Surrey Hills Mountain Biking (www.surreyhillsmountainbiking.co.uk) is run by Winterfold Systems Limited, a company registered in England and Wales (company number 17463406) with its registered office at 4-6 Greatorex Street, London, E1 5NF. In this policy, "we", "us" and "our" mean Winterfold Systems Limited. We are the data controller for the personal information described here, which means we decide how and why it is used.
If you have any questions about this policy or your information, email us at admin@surreyhillsmountainbiking.co.uk.
What we collect and why
Analytics (only with your consent)
If you accept analytics cookies, we use Google Analytics to understand how people use the site, such as which pages are visited, how visitors arrive and what devices they use. This helps us decide what to improve and which trail information to update.
Google Analytics collects information such as the pages you view, the website that referred you, your approximate location (town or region, worked out from your IP address), your browser, device and screen size, and how you interact with pages. Google Analytics does not log or store your full IP address. We can't use this information to identify you personally.
Our legal basis is your consent. If you decline, Google Analytics is not loaded at all.
Website hosting and security
The site is hosted by Cloudflare. When you visit, Cloudflare processes technical information needed to deliver pages and protect the site from abuse, such as your IP address, browser type, the page requested and the time of the request.
Our legal basis is our legitimate interest in running a secure, reliable website.
If you email us
If you email us, we'll receive your email address, your name if you include it, and whatever you write. We use this only to reply and deal with your message.
Our legal basis is our legitimate interest in responding to enquiries.
Weather forecast
The weather shown on the homepage is fetched by our server for a fixed location in the Surrey Hills. None of your information is sent to the weather provider.
Cookies and similar technologies
Cookies are small files stored by your browser. We keep their use to a minimum:
| Name | Set by | Purpose | Kept for |
|---|---|---|---|
shmtb-cookie-consent(browser storage, not a cookie) | Us | Remembers whether you accepted or declined analytics, so we don't ask on every visit. This is strictly necessary and doesn't need consent. | Until you clear your browser data |
_ga | Google Analytics | Distinguishes one visitor from another so visits can be counted. Only set if you accept. | 2 years |
_ga_F13QWH6KY8 | Google Analytics | Keeps track of your current visit. Only set if you accept. | 2 years |
Changing your choice: use the Cookie settings link, which is also at the bottom of every page. If you withdraw consent, we stop loading Google Analytics, and you can delete existing cookies through your browser settings.
Content from other companies
Some pages include content from other companies to make the site more useful. When that content loads, the company providing it receives your IP address and browser information, and may set its own cookies. That happens under its own privacy policy, which we don't control:
- Strava: trail segment maps and leaderboards on trail pages, which only load from Strava when you choose to show one (Strava privacy policy)
- Google Maps: maps on some pages (Google privacy policy)
- Tripadvisor: rating widgets on the food and drink page (Tripadvisor privacy policy)
- YouTube, Vimeo and Facebook: videos on the videos page, which only load from these companies when you choose to play one (YouTube/Google, Vimeo, Meta)
- Google Fonts: the fonts used on the site, loaded from Google's servers (Google privacy policy)
We also link to many other websites, such as bike shops, cafés and accommodation. Once you leave our site, their own privacy policies apply.
Who we share information with
We don't sell, rent or trade your personal information. We only share it with the service providers we need to run the site:
- Cloudflare: hosting, security and content delivery.
- Google: website analytics, if you accept analytics cookies.
- Our email provider: if you email us.
We may also disclose information if the law requires us to, or to protect our rights or other people's safety.
International transfers
Cloudflare and Google may process information outside the UK, including in the United States. Where that happens, the transfer is protected by safeguards recognised under UK data protection law, such as the UK–US data bridge or the UK International Data Transfer Addendum to the EU standard contractual clauses.
How long we keep information
- Analytics data: kept in Google Analytics for 14 months, then deleted automatically.
- Hosting and security logs: kept by Cloudflare for a short period in line with its own retention policies.
- Emails: kept for as long as we need to deal with your message, and no longer than two years.
Your rights
Under UK data protection law you have the right to:
- ask for a copy of the personal information we hold about you;
- ask us to correct information that's wrong;
- ask us to delete your information;
- ask us to restrict or stop using your information, or object to how we use it;
- ask for your information in a portable format; and
- withdraw your consent at any time, where we rely on consent.
To use any of these rights, email admin@surreyhillsmountainbiking.co.uk. We'll respond within one month. Because we hold very little information and most of it can't identify you, we may not be able to find information linked to you, but we'll always tell you what we hold.
If you're unhappy with how we've handled your information, please contact us first so we can try to put it right. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113.
Children
This site is a general guide to mountain biking and isn't aimed at children under 13. We don't knowingly collect information from children.
Changes to this policy
We may update this policy from time to time, for example if we add new features or services. The date at the top of this page shows when it was last changed. If we make significant changes, we'll ask for your consent again where needed.
